In a Word document, fields are used to generate information that needs to be changeable. Page numbers or date fields in headers or footers are common fields you have probably already used. Fields can also be used to insert document information such as author or file name, insert calculations and perform many other special tasks. In this class we will review simple fields quickly, and move on to more complex fields. We will also include real-life examples of how to incorporate fields into your documents, how to update fields, and how to lock fields against further updates.

Who should attend this class?

Intermediate to Advanced users of any version of Word. Knowledge of bookmarks, typing headers and footers, and a basic understanding of styles is useful.

Where is this class held?

This is a live, online class led by a field expert; and just like an in-person class, it is fully interactive and engaging. The difference between an online and onsite class? No travel! You can participate from anywhere in the world with an Internet connection. Many of our students choose to stay home from work on these training days, some never even changing out of their slippers! Where applicable, students are able to speak with and hear from the instructor and other participants throughout the course as they work in real-time to complete activities.

Anyone who wants to learn more about the formatting of a website. All you need is a basic text editor such as Notepad (PC) or TextEdit (Mac) and a browser. Knowledge of basic HTML codes is mandatory.

Topics covered include, but not limited to:

  • Overview of Simple Fields

We will start with a quick overview of simple fields such as page number, date and time, and file information. In this section, we will also cover the different ways of displaying fields (as shaded boxes or as codes).

  • Updating, Locking, Unlocking and Unlinking Fields

Fields are automatically updated every time you open a file or preview it to print. But sometimes you need to update at other times as well. You will learn how to update a field or lock it against updates, as well as how to unlink a field which changes it to static text.

  • Switches

Typing switches at the end of your field codes allows you further control over the format of your fields.

  • Using Complex Fields in real-life situations

Some examples may include: creating a drop-down auto-text list, prompting users to enter information, create dictionary-style (A-F, G-L, M-R, S-Z) headers, cross-references, IF field, nesting fields, and calculations.

About Your Instructor

Rosemary McCracken is a computer trainer with over 25 years of experience in the classroom. She teaches all levels of Microsoft Word, Excel, PowerPoint, Access, Visio and Outlook. In addition to Microsoft products, she also teaches QuickBooks, InDesign, HTML/CSS and WordPress. Rosemary has a B.S. from James Madison University. She is Microsoft Office Expert Certified and is also a Certified Online Training Professional.
