Outlook Time Management and Searching

Use time management tools in Outlook to save you time and typing! Use QuickParts to reuse text, create quick steps & rules to streamline mail management, apply categories and flags to label mail, use voting buttons and distribution lists, create a search folder, and explore advanced search features, custom sorts, and filters.

Topics covered include, but not limited to:

  • Use QuickParts to reuse text

Do you find yourself typing the same text over and over on emails? Or you copy and paste text from old emails into new ones? Did you know you can create and save QuickParts to easily place that frequently used text in any new email?

  • Create QuickSteps and Rules to streamline mail management

Outlook involves a lot of repetitive tasks-emailing the same people, moving email to certain folders, replying or forwarding to the same people, and deleting email. Wouldn’t it be great if there were some automated way of accomplishing these repetitive tasks? There are actually two ways! Learn about the uses and differences of QuickSteps and Rules in Outlook.

  • Searching tools

Outlook has amazingly powerful search tools and most people just barely scratch the surface of searching. Learn how to utilize these advanced search features and create a search folder to save frequent searches.

  • Other tools

Categories can be used across Outlook as a way to group mail, meetings, and tasks related to a particular client or project and you can also search based on categories. Flags, distribution lists, custom sorts, and filters are also great tools to speed up your work or help you find particular emails.

About Your Instructor

Rosemary McCracken is a computer trainer with over 25 years of experience in the classroom. She teaches all levels of Microsoft Word, Excel, PowerPoint, Access, Visio and Outlook. In addition to Microsoft products, she also teaches G Suite, QuickBooks, InDesign, HTML/CSS and WordPress. Rosemary has a B.S. from James Madison University. She is Microsoft Office Expert Certified and is also a Certified Online Training Professional.
